7,000 staff and faculty members are expected to attend this year’s Welcome Back BBQ on Wednesday, September 11, 2024. We hope to see you there!
To ensure the success of this event, we have asked campus departments to provide the name of one contact who will register their department’s staff and faculty members, as well as assist with promoting the event.
If you don’t know who your department contact is, please check the Staff and Faculty BBQ Department Contact List. Please ensure you RSVP to your department contact before the August 23 registration deadline. If your department is missing, or the contact is incorrect, please email special.ceremonies@ubc.ca with the changes. Thank you for helping to organize this campus-wide event!
You will receive an email with event details and RSVP instructions in early August. Please review and complete the information as indicated to ensure Ceremonies & Events can process your Departmental RSVP. You will be collecting the registration for all staff and faculty in your department. (don’t forget to include yourself!)
Below are some deadlines to keep in mind when promoting and collecting RSVPs on behalf of your department:
Registration closes: Friday, August 23 (online RSVP closes at 11:59 p.m. on August 23)
Wristbands for complimentary lunch sent to departments: A week before the BBQ
The RSVP form is intended to collect the following information:
- department contact info, campus mailing address for where we will be sending all of your staff and faculty’s wristbands
- total number of staff and faculty attending
- how many in your department will be attending each time slot
- how many in your department will be having the beef or vegan hot dog option, and how many would need a gluten free bun
Please allow yourself time to collect your department’s RSVPs in order to meet the August 23 deadline. If you would like a resource to help collect the RSVP, feel free to download an attendee details spreadsheet.
Wristbands for BBQ attendees will be sent to the Department Contact at the address you provide in the RSVP form. Wristbands will be delivered via campus mail one week before the BBQ. Registered staff and faculty should wear their wristbands on the event day to gain access to the food tent.
Missed Registering?
Staff & faculty who have missed the registration deadline are welcome to join the BBQ festivities, and can visit the “BBQ Registration” table on the day of the event. Please bring your UBCcard with you for verification. We will do our best to accommodate day-of registration, however, a wrist band for food cannot be guaranteed.
